There are five types of notifications:

  • Weekly Summary – every Monday at 9:00 am (in your time zone) you can choose to receive an email summarizing the week’s changes to your account.
  • Payment Received – each time when your clients pay an invoice, you will receive an email notification.
  • Payment Reminder – when either yourself or your staff members send a payment reminder to a client, you will receive an email notification.
  • Invoice Sent – when either yourself or your staff members send an invoice to a client you will receive an email notification.
  • Draft sent – when the draft invoice will be sent you will receive an email notification.

System notifications customization

You can customize the system email notifications and choose to receive or not each kind of notification.
To change these settings go to Settings ➝ Emails ➝ check or uncheck boxes and click ‘Save Changes’

Please note that these Emails will be send to all admins roles incl. account owner.

Remove the “powered by zistemo” watermark

Subscribers on a paid plan are able to remove the “powered by zistemo” watermark from:
* estimates and invoices;
* the zistemo branded footer in our automated emails.
In order to hide the “powered by zistemo” watermark on invoices or estimates, go to Settings ➝ Preferences and mark the checkbox ‘Hide “Powered by zistemo watermark” ’. Then press ‘Save Changes’.

If this box is unchecked – then you will have the watermark featured on your invoices/estimates

Once you check it, then it will be hidden!

Hide the zistemo email footer

If you want to remove the zistemo footer from outgoing emails sent from our platform, (estimates, invoices, payment reminders), go to ‘Settings’ ➝ ‘Emails’ and mark the checkbox ‘Disable zistemo branded email footer’. Press ‘Save Changes’.

you can switch it off in Settings -> Preferences -> uncheck ‘Show the download link for the mobile app’ and press Save changes:

It also increases the chances of receiving a prompt reply, while decreasing the possibility of having your message marked as a spam. Because it’s sometimes difficult to create automated emails based on the right greeting formula, we created the “Greeting on e-mails” text field.
You can find it on a Client Contact, where you can define the appropriate greeting for each of your clients. For example, if the Client Contact Name is: Erna Miller, the greeting formula could be: “Hi Erna”, “Ahoy Erna”, “Hallo Erna”, “Dear Ms. Miller”, “Dear Lady Miller” etc.
Your zistemo path for this field is: Contacts -> Clients -> choose “Client” and click on “Edit”. Remember to click “Update” after editing the “Greeting on e-mails” field.

With zistemo, it’s easy to customize e-mails in order to show the greeting in the e-mail body (take a look at the screenshot below). Here is a preview of how your e-mails will look like:

By default it takes the Account Owner’s email address but can overwrite it without changing the Account Owner’s email. Once you set up a company email address you can use it to send documents (invoices, estimates, retainers, etc.) from zistemo.

When changing the general email address for your zistemo account you have to confirm both the old and new email address to prevent email abuse.

Do-not-reply Email https://zistemo.com/knowledge-base/content/do-not-reply-email/ Mon, 09 Aug 2021 06:22:11 +0000 https://zistemo.com/knowledge-base/?post_type=ht_kb&p=9892 Sometimes it could happen that email you sent from zistemo end up in spam. In this case we recommend to whitelabel you zistemo domain. If a domain authentication is not possible, you can use “do-not-reply@zistemo.com” as email address for sending documents (invoice, estimate, retainer, etc.), user invitations and notifications. Just go to Settings/Company Profile/Company Information and activate “Send estimates, invoices, payment notification invitations from do-not-reply@zistemo.com”.

If activated you can select on email the “reply to” field but not the “from” field.

Your customer/staff will see that the email was sent from “do-not-reply@zistemo.com” but can easily answer to you because of the “reply to” field. In most mail systems it takes automatically the “reply to” field is someone replies to an email.

Default BCC on invoice emails https://zistemo.com/knowledge-base/content/default-bcc-on-invoice-emails/ Mon, 09 May 2022 13:42:17 +0000 https://zistemo.com/knowledge-base/?post_type=ht_kb&p=10239 When sending invoices as email, you can now add default email addresses where it will be sent automatically as BCC. You can enter e.g. you bookkeeping inbox as BCC, so they’ll receive all you invoices automatically.

To add a default BCC email addess for invoice emails, just go to settings/preferences/invoices and activate “Send invoice automatically as BCC to this email address”. You can ad several addresses. Don’t forget to save your changes.

If you now send an invoice, this email address will be automatically filled out as BCC.

Send Emails From Your Server (SMTP) https://zistemo.com/knowledge-base/content/send-emails-from-your-server-smtp/ Fri, 17 Mar 2023 13:19:50 +0000 https://zistemo.com/knowledge-base/?post_type=ht_kb&p=10482 To set up that emails will be send from your outgoing server using SMTP go on your company profile to Settings/Company Profile/Email Delivery and select “Send emails from your outgoing email server (SMTP)”.

When sending emails with SMTP you can’t see on zistemo if an email was successfully delivered.

Add the required information as email address, host, user name, password, port and encryption. You should find these informations at your email provider. Once the set up was successfully you can send a test letter.

After saving, all emails will be send from the email address you set up on the email delivery setting but your client will see a reply-to field which can be selected when sending the email.

  • subscription invoices
  • subscription cancelation
  • subscription payment failures
  • expired credit cards

The additional billing contact will be in CC in such emails.

How to Change Your E-Mail Address https://zistemo.com/knowledge-base/content/how-to-change-your-e-mail-address/ Wed, 15 Apr 2026 12:17:48 +0000 https://zistemo.com/knowledge-base/?post_type=ht_kb&p=11257 If your e-mail has been verified you can’t just change it. For security reasons you have to confirm your current and your new e-mail address. Follow the step below:

  1. Navigate to “My profile” by clicking on the dropdown at your avatar:

2. On your profile, click on “Change email”. If you don’t see it, user are not allowed to change their own email address in zistemo. If so, please contact an admin.

3. Insert the insnew email address and your current password that you are using to login to zistemo and click on send emails

4. You’ll a confirmation email to your current email address and to your new email address. Please click on “Confirm Email Address” on both emails within 15:00 minutes.

 

What happens if I don’t confirm both email addresses within 15 minutes?

If you don’t confirm your email addresses within 15 minutes nothing will happen. Your email won‘t be changed. You can start that process any time again.

I received a conformation email but I didn’t initiate the change

If you did not initiate the change please ask users with admin roles if they want to change your email address. If nobody in your company initiate to change your email address please update your password immediately and enable two factor authentication.

I don’t have access to my old email address

Ask your IT department if your email address can be anyhow restored. Usually in business, they set up an email forward from your old email address.
