Recording a new expense category

The zistemo includes a default list of expenses based on DATEV.
However, you can add your own expense categories and subcategories.

To add a category go to Purchases ➝ Expense Categories ➝ Add Category

Using expense categories

Every expense is linked to an expense category. You can choose the appropriate category on the expense page:

With zistemo you have complete control over the expense categories dropdown list. At any point, you can choose to show/hide specific expense categories in the default dropdown lists. The path is Purchases -> Expense Categories.

Note: The hidden categories will not be included in the categories list on an expense page or on the reports.

Update the expense category for all selected expenses in one click

In zistemo you can easily change the category of the expenses with a few clicks. Select your expeses you want to change the category and press the button “change category”

Choose the preferred new category for your expenses.

NOTE: For companies based in Austria, zistemo will automatically use the Austrian number system.

If you want to export your expense categories to another system (DATEV, SKR3-SKR4, customized), you need to follow its’ categories numbers. By default, the zistemo uses DATEV numbers – you can review them in “Purchases” -> “Expense Categories” -> “Basic Numbers”.

These numbers aren’t editable. However, you can create another numbering system manually in “Own Account Numbers”. Just enter a number to the “Category Number” field and click “Save”.

Note: If you create your own category/subcategory through the “Add Category” button, you will be able to add/change this number in both “Basic Numbers” and “Own Account Numbers”.

With this feature the zistemo helps you to export these categories into another system, saving the time on creating them again.

Beneath you will see the exchange rate (here from USD to EUR). The amount will be also translated to your base currency. See here how to change the base currency.

When you want to export your expenses than you will receive the data only in the selected currency and not in your base currency.
