Project Report with billing methods “staff day rate” & “tast day rate”

Project Report shows how much you will earn from each of your projects.

Project Report

In the Report header, you have the general project information, such as:
– Project Status (not started, in progress, finished, overdue);
– Start date and End date;
– Budget method;
– Total hours logged on this project (including billed, unbilled and non-billable hours);
– Links to the related invoices;
– Project client and his contact;
– Billing method and rates.
Also, there is a Margin Amount which shows your potential profit from this project.

This report consists of 4 parts:
– Project timesheets – shows the number of hours spent by project members on specific tasks and the related Cost (how much money should be spent on salaries), Sales (how much will be invoiced) and the Balance (= Sales – Cost).


– Expenses assigned to a project – expenses Cost (net expenses amount without admin fee), expenses Sales (expense amount plus admin fee – the amount which will be invoiced) and Balance (= Sales-Cost).


– Mileages assigned to project – mileages Cost (staff mileage rate multiplied by distance), mileages Sales (mileage amount, the amount which will be invoiced) and Balance (= Sales-Cost).


Items from invoices linked to this project – Items Cost (product cost), Items Sales (items prices (without taxes) multiplied by quantity) and Balance (= Sales-Cost).: 

Note: The Item table includes Items only, the tasks are not included in this table:

To summarize, you can see how much you have spent by working on this project, the amount which is billed or will be billed to your Client and how much you will earn from this project.
You can use report filters if you wish to see further specific information:


– Group by: user, task – use it for data grouping in the timesheets section of Report;
– Limit to – choose the client/project (or clients/projects) for which you want to see more details;
– Project Status – choose the status of the projects you want to see in the report (pick one or several statuses, as you wish)
– Time format in decimal – time can be displayed with a colon (by default) or dot (by using this filter). For example, 02:30=2.5 hrs.

Also, you can export this report as PDF or print it by using the related buttons.

Project Timesheet Report https://zistemo.com/knowledge-base/content/project-timesheet-report/ Wed, 19 May 2021 14:29:32 +0000 https://zistemo.com/knowledge-base/?post_type=ht_kb&p=9715 On the project timesheet report you can see for a selected project all tracked hours with staff, staff position, notes and information if hours where billed or not. Also you will see the total budget, already used budget, remaining budget and project start date.

You can find that report on Reporting/Project Report/Project Timesheet

You can customize this report by selecting or de-selecting the columns Team, Position, Note and Show if Billed.

Team: Name of user is shown on report
Position: Staff position is shown on report
Notes: Notes added to this time record shown on report
Show if Billed: can be yes, no or n/b (non-billable)

Please note that you can only select one project on this report.

Project Timesheet as Attachment for Recurring Invoices

You can attach this project timesheet report instead of the detailed timesheet to a recurring invoice.

While creating/editing a recurring invoice just select “Projects Timesheet Report” as an attachment for that recurring invoice. You can also customize the columns for that attachment (please see above).

Please note that when you selecting “projects created in the future” you need to send separated invoices for each project to use the projects timesheet report as an attachment:

You can review the scheduled capacity of your team/department/company on the scheduled capacity report. You’ll find it on Reporting/Project Report/Scheduled Capacity.

In that report you see the capacity hours of the selected staff, scheduled and logged hours. You can apply filters for date selection, chart types and select specific staff members, teams or reporting groups. On the chart itself you can see capacity, scheduled and logged hours.

You can also disable metrics for the chart by just clicking on it:

On the section below you can find the capacity of the selected staff and how many hours (also %) was scheduled for the selected date range. Furhtermore, you see how many hours was logged and what hours are billable/non-billable

On the table you can see each staff’S capacity, scheduled hours, how many % was scheduled it user’s capacity and how many hours were logged. You can view for each staff scheduled and logged hours per project. If you click on the project name you’ll the directed to the project’s dashboard.

On the hourly chart you can apply different filters:

  • Date Range (start and end date)
  • Chart type
  • Project
  • Hide budget (budget line won’t be shown on the chart)

On the chart itself you can see scheduled and logged hours per day for a project. Below you can find more details about scheduled and logged hours, e.g. how many hours are billable/non-billable and what is the difference between scheduled and logged.

On the table below you can either see scheduled and logged hours for each task or for each user. If you view the tasks you can also see how many hours each staff member has scheduled and logged for each task.

If you are o the staff view you can see on for which tasks a user had scheduled and logged hours:

Please note that you can’t export this report as excel or PDF since the data is very dynamic and your PDF repot won’t have any value if a project manager re-schedules a project.

You’ll see staff cost, cost (expenses, items and mileages), total cost, budget, remaining budget, revenue, profit as well as unbilled and non-billable hours. All monetary values are shown in you account’s base currency ➜

The budget is shown as set up on the project. So, if you set up the budget in hours it’s shown in hours and if you set up as cost you’ll see it as monetary value on this report.

 

The report can be exported as PDF, CSV and Excel file.
