How to buy a zistemo subscription?

If you are currently taking advantage of a free trial period, click on the ‘Upgrade’ button at the bottom of the account home page.

You can also click on your name at the top of the account home page, then ➝ open the tab “Subscription”:

Here you can choose the needed plan: Starter, Professional or Enterprise. You can pay the subscription by using a credit card or PayPal. As soon as your card payment is authorized, you will able to start using your chosen zistemo plan.

On the subscription plans page – choose the plan and click ‘Sign up’.

Then insert your billing address, credit card information and click ‘Make Payment’.

or insert your billing address and open the tab “PayPal”.

Next, click the blue “PayPal” button and follow the steps.

Important: payments will be charged automatically every 30 days following the purchase of your first subscription.
You are always able to upgrade or downgrade your subscription.

Note: For new registered companies from Russia and Ukraine – USD is the default currency for the subscription plans.

If you purchase a new subscription and you are due to a refund, please contact our support center. Our support team will be happy to help.

How do I upgrade or downgrade my subscription?

To change an active subscription, go to My Profile Settings (click on your name at the top of the page) ➝ open “Subscription” tab ➝ click “Change Plan” link:

Here you can choose a new plan.

How do I update my credit card details?

If you would like to change the credit card used for paying the subscription, go to My Profile (click on your name at the top of the page) ➝ Subscription.
Here you can change Credit Card Details or update a Billing Address:

Change to annual/yearly subscription

If you want to change to a yearly subscription you have to account owner. Go to your profile/subscription and go to “change plan”:

After that, switch to yearly plan and upgrade your current plan to annual billing:

If you have more than 20 users on the Enterprise plan, the additional user won’t get lost. They’ll be billed yearly as well, you can see it afterwards on you subscription page.

Your personal document space

Since we started zistemo to help you run your business from one place – your zistemo account – we also give you some personal document space where you can safely store files, as it follows:
– 20 MB ( for free accounts)
– 1 GB/2 GB or 5 GB (for paid accounts: if it is Starter Plan/Professional Plan or Enterprise Plan’)
If you would like to access your files, check how much space you have available or upload new files to the cloud, click on “Document Space” in the menu, below your name.

 

All your files and documents will be listed here.

Please Note: Data Capture, Team Member and HR Admin Role can only see the files that they uploaded. Team Leader, Admin and Account Owner can see all documents. It might be that there will be files with the same name.

To attach a document to an invoice or estimate, go to the bottom of the creation page. Here you will find the options to “Upload a File” or “Choose an existing file” from your document space. If you would like to attach the files to the e-mail when you send the invoice, just mark the checkbox “Add attachment when sending an e-mail”.

Buy extra megabytes for Document Space

By default, your free zistemo trial comes with 20Mb of storage space for your documents and attachments. If you need more, you can buy one of the subscription plans, and in this case, the document space will increase to 1 GB (for Starter Plan), 2 GB (for Professional Plan) and 5 GB (for Enterprise Plan).
When you reach the maximum storage capacity, you will see the following message:

If you need more storage space, click the link “Buy more” or go to User Menu -> Subscription to buy an extra 5GB.

After clicking “Buy it now’”, you will get an additional 5GB of space for your files. 

Note: The money will be automatically charged from your saved credit card (User Menu -> Subscription -> Credit Card Details). You will also receive a purchase notification by email.

If you need to add more people on your zistemo, you can “buy” additional users on the “Subscription Details” page: go to My Profile -> Subscription -> and click on “Add Users”.

On the “Add Users” popup window, choose how many extra users you need. You can add as many users as you want.

After choosing the number of extra users you want to add, your subscription price will be recalculated.

As soon as you click “Save”, you can start inviting staff onto zistemo.

The amount will be charged automatically from your card.

But if your card is about to expire, zistemo will send you an email notification about it at the beginning of the month when your card expires. Therefore, remember to update your card information on the zistemo subscription page.

Also, on the 10th of the month before the expiration month, you will see a notification on the top bar:

If you completely forgot about it, no worries! You can still use your account for full 9 days after the charging date. We know you’re busy, that’s why during this timeframe, zistemo will send you daily email reminders.

Also – on the top bar, you will see a notification regarding the failed attempt to complete your monthly subscription payment:

You will receive the same messages if something is wrong with your card (not enough money, etc.).

Therefore, you have 9 days to update the card details before having your zistemo account blocked.

Where to find the subscription monthly invoices from zistemo?
Buying additional users

Whenever you buy a subscription and then each month, for as long as you remain a zistemo subscriber, we will send you a confirmation email. Attached to this email you’ll also find the zistemo subscription invoice (as a PDF file).

To see your zistemo subscription invoices go to the subscription settings to “Go to zistemo invoices”:

Alternatively, you can go directly to sales/invoices/received invoices.

Here you can view and download all zistemo subscription invoices.

Buying extra GB of document space

If you need to buy extra GB of storage space on zistemo (more here), you will also receive an invoice.

zistemo charges an additional GB price each month (30 days) on the subscription day (the day when you receive the subscription invoice from us).

Note: For the first time, we will only charge a part of the price, based on the number of days left until the end of the subscription period. For example, if an extra 5GB costs 8 EUR, your subscription day is 20th of April and you buy the GB on 5th of April (15 days before the end of subscription period), in this case, the amount for the first invoice will be:
8EUR * (15days/30days) = 4EUR.

Buying additional users

If you’re on the Enterprise plan, with 30 users, but you need more, you can always buy access rights for extra users  (more here). In this case, as well, you will receive an invoice from zistemo regarding this purchase.

zistemo charges the price for additional users each month (30 days), on the subscription day (the day you receive the subscription invoice from us).

Note: For the first time, zistemo charges only a part of the price, based on the number of days left until the end of the subscription period. For instance, if:
– 3 extra users cost 6 EUR
– your subscription day is 20th of April and
– you buy the 3 users on 5th of April (15 days before the end of the subscription period), then,
– the amount for the first invoice will be: 6EUR * (15days/30days) = 3EUR.

You can use your free trial after you have registered.
Your free trial is active for 14 days (max. 5 users). You can then buy one of our full subscriptions to continue working with zistemo.

Starter Plan

You can use the Starter Plan if you don’t need to invite staff members.

Professional Plan

You should purchase the Professional Plan if you manage a small team and would like to give them access to zistemo
Professional Plan allows you to invite up to 5 staff members.

Enterprise Plan

You should purchase an Enterprise Plan if you manage a large team of staff.
The Enterprise Plan allows you to invite up to 30 staff members.
Important: if 30 users aren’t enough for you, zistemo allows you to buy additional users.

Go to “Settings” -> “Reset Data” -> “Delete Database” button.

Note: You can delete your zistemo account this way if you’re still on the free trial plan:

2. For all the Paid Plans

Note: For all the paid accounts you need to Cancel Your Subscription first to be able to Delete your account.

Go to: My profile -> Subscription -> Change plan:

then scroll down to the bottom of the page and click ‘Cancel Your Account’:

Once your account is canceled (your subscription was canceled or got expired) you’ll see this page, scroll down to the bottom again and click Delete Account:

After clicking ‘Delete your account’, type “DELETE” in the input field and click “Permanently delete” like here:

Now your account and all its data are permanently deleted from the zistemo database (with no way to restore it).

Note: The subscription can be canceled and the account can be deleted by the Account Owner only, the zistemo team has no ability to do it by your request.

That means if you would like to switch to this payment method, you would have to cancel your subscription and simply re-subscribe again with PayPal instead of Credit Card. We have had a few users who have done that before. Please rest assured that your data will not be deleted.
(Your data will only be erased instantly if you use another feature called ‘Delete Account Permanently’ or if you do not re-subscribe within 30 days).

It sounds difficult, but all you need to do is follow these few steps:

  1. Go to the ‘Subscription’ page, click on ‘Change Plan’ and press ‘Cancel your Account’ at the bottom of the page (screenshot 1+2).
  2. Confirm the cancellation.
  3. After your cancellation, you will be able to re-subscribe right again on the subscription page. Choose your plan again and select PayPal this time as a payment method (screenshot 3).
