Where can I update my profile and contacts data?

You can enter and update your profile details by simply clicking on your name above the page header.

Contact Details – You can make changes to your Name, Email, Phone, Mileage Rate, Position and a Project Hours limit (if you don’t see any of those functions then you are probably not an Account owner or an Admin)

Profile Settings – you can change the Language, Billing Rate and Staff Cost, Change your Avatar, Get connected with Slack, Update Password, Set up your Quicktoolbox preferences, set up the Default e-mail, more details on those please read here

As to the language changes, the system notifications we will show in the User’s language, but if its a notification that in the same time can receive a few users (as an example, the request to approve vacation, this notification can receive the admin and the department leader) then the text will be in the company’s language.

You can also set up your Address on this page, Enable Two Factor Authentication and Calendar Subscription.

Log Hours on the Quick Toolbox

In ‘My Profile’ you can also set the behavior for the ‘Log Hours’ button of Quick Toolbox.

Here you can see three parameters:

1. Open the timer
If you choose it, ‘Log Hours’ will get you to the Timer widget:


2. Open the weekly view
If you opt for this one, ‘Log Hours’ will land you on the Time Tracking page, ‘Week’ tab:


3. Open the monthly view
Pick this and ‘Log Hours’ will send you to the ‘Month’ tab of the Time Tracking page:

Below the Toolbox options you can see the e-mail preferences set up:

 

This is related to Invoices, Estimates, or any other sent documentation if a member has the rights to send them out. If you don’t see this in your profile then you don’t have this permission.

Here you can log the hours using the ‘log time’ widget. You can also view a calendar showing the amount of logged hours per day.
Choose any day on the calendar and review timesheet details on the timesheet grid.
On the timesheet grid, you will see the task and project name, the status of time entry and the amount of logged hours.
If the status of hours is ‘non-billable’ or ‘unbilled’ you are also able to edit or delete this entry.

If you are an account owner, or an admin or a team leader, once you click the project name, you will be redirected to the project dashboard, and when you click the task name, you will be sent automatically to the ‘Manage Tasks’ tab from the project dashboard.

If you are a team member or a ‘capture data’ user, you can click the project name and you will be redirected to the timesheet details report which includes only information related to this particular user.

When entering time you can see what task is billable and what is not:

If you are using the Attendance Time Module you can also see your leaves, vacations and holidays on the monthly timesheet.

Absenteeism Report https://zistemo.com/knowledge-base/content/absenteeism-report/ Mon, 29 Aug 2016 07:44:18 +0000 https://moneypenny.me/knowledge-base/?post_type=ht_kb&p=1153 Another useful feature offered by zistemo is the “Absenteeism Report” which comes handy for those interested in having accurate information about their staff’s time records. This report gives you access to detailed data on the hours worked by each employee.

With zistemo you can easily set daily working hours limits for each of your staff members. Just go to “Staff Edit Page” (Contacts-> Staff->Edit Staff). In case you need to change this limit, you simply return to this page and edit the “Working Hours” block, then press the “Save staff” button.

In this case, the user can still log more than 8 hours to his timesheet per day.
There is an “Absenteeism Report” which displays staff hours logged per day only if this doesn’t exceed hours limitation.

Therefore, if the daily limit is 8 hrs and the user logged 8 or more hours – this information will not be shown in the report.
Although all internal users have access to the “Absenteeism” report, only the Account Owner and the Admin can see their own as well as other members’ activity. Team Leaders, Team Members and “Capture Data” users will only have access to their own logged-hours data.
Note: Do not forget to set hours limitation for all staff members because if a limitation isn’t set or is zero, their hours will not be displayed in the report.

Where we can set the hours per day?

The ‘hours per day’ we take from the Settings -> Attendance -> Work Time Rule:

and only here the user can manipulate with hrs per day (under the ‘user’ we mean a person in charge or the Account Owner. In case if the staff is assigned to the Attendance Template with flex time model ‘non-tracking model’ or if a company doesn’t use the Attendance Time module then for this report the ‘hours per day’ we take from the staff profile, described at the beginning of the article, so the user can update hrs per day here:

Time format

By default, the time format is displayed with a colon (for example 03:15), but it can be shown in a decimal format (for instance 3.25) after checking the box “Time format is decimal” and clicking “Update”.

Note: we don’t just replace the colon with a decimal separator, we also convert standard time format into a decimal number format. So that 3:15=3.25 hrs. or 5:30=5.5 hrs. etc. It can be helpful if you export this report as CSV or Excel – and use different formulas to calculate the information.
