Where can I customize sales taxes?

To add new sales taxes, go to Settings ➝ Taxes ➝ Add New Tax

To update taxes go to, Settings ➝ Taxes ➝ click on the pencil icon on the grid

What is Tax Group? How do I create it?

You can create a Tax Group if you use more then one sales tax for your products.

To create Tax Group go to, Settings ➝ Taxes ➝ Add New Tax Group


Note: When you create a new product or task you will be able to assign a tax group for it.

How will taxes be calculated for my products?

Your taxes are customized as a percentage.
The amount of tax will be calculated based on a product’s or task’s cost.
Product and tax costs will initially exclude tax and If the tax needs to be applied, it will be calculated and presented on your estimate and invoice.

How will taxes be calculated for my products?

Tax as a value, not percentage

Sometimes you need to use taxes as a value. To be able to do that, you need to create an Invoice Template first: go to Settings -> Stationary Templates, more details here.

In the Item Tables once you click on the Tax column:

You will see the button pop-up, make sure it’s on:

Don’t forget to hit Save when done with the Item Tables Settings, save the new template and also save this template as default:

You can also choose this template as a default one for your client:

Now on the Invoices, you will see the tax as a value:

And not as a percentage as it was before:

Once creating an Invoice, please make sure you are using the correct template in the preview.

Note: If there was a discount on the invoice, we show the tax amount without the discount on the line item and the final tax amount in the total, after the discount was applied:

You can customize the sales taxes of your business at, Settings ➝ Taxes.

You can then add taxes to the price of your products. As a default, product costs exclude taxes meaning the total price will consist of the product cost and the additional tax.

You can also choose to include taxes on the initial product amount during the raising of invoices or estimates.

Using Taxes

Taxes with 3 digits after the decimal point

zistemo supports taxes with 3 decimal places. If you use taxes with 3 numbers after the decimal point in your business – just add this tax to any tax fields. It will not be rounded automatically, so you will see the correct taxes on all your zistemo documents.

If you want to set your sales taxes, go to the Settings ➝ Taxes. Here you can add Taxes or Tax Groups that you will use on Invoices, Taxes, and Items.

You can even set one of the taxes as default, so each time you will create an item or a task, this tax will be chosen by default.

In case you don’t pick a default tax, the tax field available on tasks/items will stay empty.

Using Tax Groups

You will also be able to add a grouped taxes amount to the product cost when you raise an invoice or estimate.

Delete Taxes

As log as a tax is not used in tasks or items you can delete it. If the tax is used in any task or any item you can not delete it. There are two possibilities:

1) You can rename the tax and change values. In this case the system will automatically mark the “old” tac as inactive and will create a new tax with the values you entered

2) You must find all items and task where the tax is used and apply on that task/item another tax.

Who is a tax consultant? How do I invite a tax consultant?

A tax consultant is a user role on zistemo which has limited access to your account.
You can only invite one tax consultant – this user will be able to view your reports and export account information (in PDF).
To invite a tax consultant to your account go to, Contacts ➝ Tax Consultant ➝ Invite Tax Consultant ➝ to enter the email of tax consultant and click ‘Send’

After clicking ‘Send’ the tax consultant will receive an email invitation to their profile.

How do I delete a tax consultant?

To delete tax consultant go to, Contacts ➝ Tax Consultant ➝ Remove Tax Consultant

Delete tax consultant

The removed Tax Consultant will not be able to login to the account.

A “Tax Consultant” user will have access to the following data:

Dashboard
– Available graphs: Invoices sent, Estimates sent, Hours billed, Active projects, Invoices, Total hours, Invoices & Payments, Top Expense Category, Revenue & Cost

Contacts
– Clients – can only see clients list

Sales
– Invoices (Invoices, Retainers, Received Invoices – can only see invoices list and invoices preview
– Payments (Invoice payments, Retainer payments) – can only see payments list
– Product List (Task, Items) – can only see tasks and items lists

Purchases
– Purchase Orders (Purchase Order) – can only see the purchase orders list and purchase order view
– Expenses – can only see expenses list and expense preview
– Expense Categories – can see and create expense categories
– Mileage Tracking – can see mileages list and mileage preview

Timesheets
– Team Timesheets – can only see Team Timesheet

Reporting
– Can see and print all reports.

Export
– Can export all account data on “My Profile”

Profile Settings – can see and update own profile settings.
