Import clients

You don’t always need to add a client manually.
You can simplify this process by using the import feature.
To import clients, go to Contacts ➝ Clients ➝ “Import” (or user menu -> “Import” -> choose “Import Clients” and click “Import”).

You can import clients from a CSV or a vCard directly from your profile:

NOTES:

  • The Client number needs to be unique in your file
  • Client custom fields are not supported on import

 

Now pick from the file the contacts you want to import and click “Import Clients”.

2. When you opt for vCard, upload this file on the next step:

Note: This way you can import not only the clients but any other data by picking the needed one from the drop-down.

How do I export my list of contacts?

To export data of all clients to an Excel document, go to My Profile (click on your name at the top of the page) ➝ Export

Please use “UFT-8” for encoding.

If you import timesheets for a staff member that doesn’t exist in your staff list member will be added automatically after timesheets importing. The same goes for a project/task that doesn’t exist – it will be created automatically.

Very important:
When uploading timesheets it won’t add those hours to your attendance time automatically. You could retroactively sync project and attendance time once project timesheet were uploaded.

Just go to the “Import” link in the header menu:

choose “Import Timesheets” and click “Import”:

Next, you can click on the “sample file” link and download an example of the .csv file. Now you will know how it would look like and it will help you to prevent mistakes.import-timesheets-via-csv3

Choose your file and click “Upload File”:

After clicking “Import”, the imported timesheets will appear in the calendar:

About the .CSV file

Very important:
If you import timesheets for a staff member that doesn’t exist in your staff list – this member will be added automatically after timesheets importing. The same goes for a project/task that doesn’t exist – it will be created automatically.

Your .CSV file should include some mandatory data, such as Project Name, Task Name, Staff Email and Hours, otherwise, you will not be able to import this file and will see the following error:

The date isn’t required, but if its column is empty, the current date will be considered.

Please note that only the first line of your .CSV should include the date. If it’s not there, the file cannot be imported:

The Staff’s E-mail Address is required and should be unique. Therefore, if your .CSV file includes an email address which already exists in your zistemo account, the hours on these timesheets will be identified as hours attributed to the team member who owns this email.

In case the timesheet line only has:
– Start Time and Total Hours, the End Time will be calculated automatically by zistemo;
– End Time and Total Hours, the Start Time will be generated automatically by zistemo;
– Start Time and End Time, the Total Hours will be filled automatically by zistemo.

If some specific timesheet records have already been imported into the zistemo system, you cannot import them again:

Note: For timesheets that have more than 9000 records (lines) the importing process of the .CSV file can take 1-3 mins.

If you import mileages for a staff member that doesn’t exist in your staff list – you need to create/add the staff member before importing the mileages. Also, the car registration must already in the system to import a mileage to it.

Your .CSV file should include some mandatory data, please create your CSV file on the basis of our “sample file” which you can download on the import section on your zistemo account.

Import projects from Trello https://zistemo.com/knowledge-base/content/import-projects-from-trello/ Wed, 13 Dec 2023 11:09:03 +0000 https://zistemo.com/knowledge-base/?post_type=ht_kb&p=10687 To import projects from Trello to zistemo please go to the Import section via your profile. As select “import projects” as import type and select “trello projects” as file format.

After grant zistemo authorization to your Trello account you can select projects to be imported from Trello to zistemo. Further, you have to map users from Trello to user from zistemo so that task assignments are imported accordingly. If any user mapping is missing, the task will be assigned to the person who imported the project.

After Trello projects where imported you’ll receive a confirmation email.

Please note that the Trello project is imported not synced. That means that there’s no active connection between the projects on Trello and zistemo. If you want to sync projects from Trello and zistemo, please use the Trello Integration.
