Skills matrices are ideal for keeping track of your staff’s skills, qualifications, and competencies throughout the whole Organisation. With a good skill matrix, your project is completed efficiently and by the most qualified and skilled team members.

Set up Skills

To use skills you need to have a paid Enterprise subscription (trial accounts can also use the skill feature).
First, go to Settings/Skills to set up skills for your company:

Next, you can either create a new skill group which contains skills or you can load default skills. Please note that there’s no import function for skills and no API call, wich means you have to create it manually.

Skill Groups

Skill groups are used to categorize skills and make it easier for HR to manage skills. Skill groups can contain unlimited skills and have to be used, no skill can be without a skill group. Example for skill groups could be:
– Soft Skills
– Hard Skills
– Communication Skills
– General Abilities
– Marketing Skills
– Management Skills etc.

Pro Tip: Don’t think too small parted, try to see the bigger picture. You can later define desired skills for teams, maybe it make sense for your company to think for skill groups as for teams, departments or divisions.

Update/Delete Skills

You can anytime update skill groups and skills. To do so, just click on the pencil icon:

To delete skill groups or skills, click on the trash icon. If you delete a skill group, all containing skills will be deleted as well. You can delete skill only one by one, there’re no bulk actions to delete several skills (except deleted a skill group). You can also delete skill groups and skills that are used.

Now you set up skills which you can use to rate staff and use as desired skills for teams. Click below to learn more about the different topics.

You can rate skill per staff on to places: 1) Settings/Skills/Manage staff skills or 2) Contacts/staff/select staff/skills. We will explain both below.

Manage staff skills on settings

If you are on the settings/skill page you can manage your staff’s skills right ahead. You can select any active zistemo user on the dropdown menu. You’ll also see to team the user belongs and whats the user’s role. Below, you can find a radar chart that visualizes rated skills of this employee. You need to select at least three skills to see a proper radar chart. The chart also visualizes the desired team skills. you can switch it off by clicking on it.

Under it, you’ll find all company skills that have been set up previously. You can rate each skill by clicking on on the stars. The number besides the skill group shows how many skills are active per group (active = at least rated with one star) Next to the staff skills you can see the desired skills for teams so you can compare skill by skill.

To deselect a skill/rate with zero stars just click left of the first star:

You can change staff member’s skills on the edit staff page. Go to Contacts/Staff an click on the staff you wan to edit. On the left hand menu you can find “Skills”. On this section you see a radar chart that visualizes staff’s skills and desired team skills so you can compare it easily. You can hide either staff skills or desired team skills by clicking on it besides the radar chart.

Under it, you’ll find all company skills that have been set up previously. You can rate each skill by clicking on on the stars. Skill Matrix

Using skills on the scheduler

Based on the skills in your company you can filter on the scheduler for skills.

Once you filter for any skill you see only staff who has any rating for that skill. On the staff field you see the rating of the skill

By filtering for skills when planning resources you can make sure that the most qualified person’s doing the task.

It’s helpful when recruiting new talents for your open positions in your company. Further, you can check how many skills points each team member hits.

Manage desired skills

To manage desired skills for teams go to settings/skills and select on the left side “manage team skills”. You’ll see a dropdown where you can select the team you want to edit/review it’s skills. Below you see a radar chart grouped by the skill groups. You can deselect skill groups on the chart by clicking in it.

Below you find all company skills available. You can activate them by rating them or you click on the switch icon to activate it. Skills that are activated but not rated are considered as nice-to-have skills with zero rating. So, by activating but not rating a skill, it’s shown as desired team skill but with no rating. Active skills only are shown as desired skills for this team.

It’s a grid that visualizes skills and competencies in a team. This makes it an essential tool for any data-driven HR professional. With a skills matrix you can easily see which skills are present and the ones that are missing in a team. Missing skills can be found when hiring people with the relevant skills. On a larger scale, the company gets an overview of available competencies and areas of improvement.

Building a skill matrix

To create a skill matrix for a team or for the company, make sure you set up skills and rate staff’s skills. Basically, that’s all you need to do to get your skill matrix. To view the skills matrix follow the steps below.
