What is my ‘Business Link’?

How do I register with zistemo?

To create a new company, navigate to the Signup page https://app.zistemo.com/user/register ➝ Enter ‘Company Name’, ‘Email Address’ ➝ and click ‘Register’.

On the next page, select your company location ➝ Choose a business link (subdomain) for your zistemo account ➝ Choose company location and language ➝ Enter first name, last name, password  ➝ confirm you are not a robot and Click ‘Start using your free trial’.

What is my ‘Business Link’?

Your Business Link is the URL address of your zistemo account. This is the URL address both yourself and your customers will use to access your account via a web browser.

You can choose a company business link during the account registration process.

Following successful registration, you can view or edit your Business Link. More details here.

When you register your account you will be asked to provide a company location. This location will determine which predefined settings are applied to your account.

These predefined settings are:

– VAT rates for your country
– Profile language
– Base currency
– Time zone
– Date format
– Time format
If you need to change any of these values after the registration, simply go to your zistemo account’s “Settings”.

Important:

1. Your base currency can only be changed once and it cannot be changed at all after you have raised your first invoice/estimate/expense/product/project.
2. Please keep in mind that you can only choose your country (company location) once, during the registration.

Afterward, you will not be able to change it:

Where can I customize sales taxes?

To add new sales taxes, go to Settings ➝ Taxes ➝ Add New Tax

To update taxes go to, Settings ➝ Taxes ➝ click on the pencil icon on the grid

What is Tax Group? How do I create it?

You can create a Tax Group if you use more then one sales tax for your products.

To create Tax Group go to, Settings ➝ Taxes ➝ Add New Tax Group


Note: When you create a new product or task you will be able to assign a tax group for it.

How will taxes be calculated for my products?

Your taxes are customized as a percentage.
The amount of tax will be calculated based on a product’s or task’s cost.
Product and tax costs will initially exclude tax and If the tax needs to be applied, it will be calculated and presented on your estimate and invoice.

How will taxes be calculated for my products?

Tax as a value, not percentage

Sometimes you need to use taxes as a value. To be able to do that, you need to create an Invoice Template first: go to Settings -> Stationary Templates, more details here.

In the Item Tables once you click on the Tax column:

You will see the button pop-up, make sure it’s on:

Don’t forget to hit Save when done with the Item Tables Settings, save the new template and also save this template as default:

You can also choose this template as a default one for your client:

Now on the Invoices, you will see the tax as a value:

And not as a percentage as it was before:

Once creating an Invoice, please make sure you are using the correct template in the preview.

Note: If there was a discount on the invoice, we show the tax amount without the discount on the line item and the final tax amount in the total, after the discount was applied:

If you need to make further changes to your company logo, go to, Settings ➝ Company logo.

Where will my company logo be used?

1. At the top of your estimates and invoices:

Your company logo will also be displayed at the top of your estimates and invoices.

2. On the Reports PDF files, making your reports look more professional:

If you wish to crop your logo, simply choose the image file, crop the area which should be displayed and click “Done”.

Where can I update my profile and contacts data?

You can enter and update your profile details by simply clicking on your name above the page header.

Contact Details – You can make changes to your Name, Email, Phone, Mileage Rate, Position and a Project Hours limit (if you don’t see any of those functions then you are probably not an Account owner or an Admin)

Profile Settings – you can change the Language, Billing Rate and Staff Cost, Change your Avatar, Get connected with Slack, Update Password, Set up your Quicktoolbox preferences, set up the Default e-mail, more details on those please read here

As to the language changes, the system notifications we will show in the User’s language, but if its a notification that in the same time can receive a few users (as an example, the request to approve vacation, this notification can receive the admin and the department leader) then the text will be in the company’s language.

You can also set up your Address on this page, Enable Two Factor Authentication and Calendar Subscription.

Log Hours on the Quick Toolbox

In ‘My Profile’ you can also set the behavior for the ‘Log Hours’ button of Quick Toolbox.

Here you can see three parameters:

1. Open the timer
If you choose it, ‘Log Hours’ will get you to the Timer widget:


2. Open the weekly view
If you opt for this one, ‘Log Hours’ will land you on the Time Tracking page, ‘Week’ tab:


3. Open the monthly view
Pick this and ‘Log Hours’ will send you to the ‘Month’ tab of the Time Tracking page:

Below the Toolbox options you can see the e-mail preferences set up:

 

This is related to Invoices, Estimates, or any other sent documentation if a member has the rights to send them out. If you don’t see this in your profile then you don’t have this permission.

Via Browser

You can access your account with the business link of your company. This will be sent to you in the invitation email – https://YOURTENANT.zistemo.com/user/login
When you reach the login page, simply insert your username/e-mail address and password, then click ‘Login’.

I logged in to my account, but I can’t access all my features

This may happen if you log in to your account with the credentials of another user role. (Account Owner – Client – Staff Leader – Staff Member – Capture Data – Tax Consultant)
Different roles will have different access levels to your company account and logging in with different role credentials will change the displayed account view.

What do I do if my account is past due or suspended?

Don’t panic. After cancellation, we always save your account data for some period (you will receive a notification). Data will be restored following payment or purchase of a new subscription plan.

To buy a subscription:
Log in to your account ➝ click ‘Upgrade’ on the required plan ➝ enter your credit card details and click ‘Save’.

Via Mobile App

You can access your account with the subdomain of your company. This will be sent to you in the e-mail, following registration.

Login is in the app without “https://” so: add only your tenant/company name as following:
YOURTENANT.zistemo.com

In the next step, you enter your email address and after this step your password.

On the Login page click ‘Forgot Password’

Enter your email address (email that was used for registration) and click ‘Send Password’.

We will immediately send instructions on how to restore your password.

How to get the correct new password if I use one email for different users?

zistemo allows you to assign one email address for multiple users (more here).
In this case, if you forgot the password for one of these users, you should enter the email, click ‘Send Password’ (please, see the image above) and zistemo will ask you to choose the correct user, as shown below:

Now pick the right person and click ‘Send Password’.
