You’ll no longer have to wonder whether your clients have received your invoices or to call them in order to make sure they’ve seen the e-mail.

In the ‘Invoice History’, you can now see clearly if your customer saw your e-mail. This is very helpful in dealing with late-paying clients or clients who keep on inventing excuses to delay payments.

On the other hand, it improves the relationship with prompt-paying clients who might not have noticed the e-mail by accident. Once you notice they didn‘t open your e-mail, you assume something interfered and you can contact them to double check.

Know if a client saw your email

Note: Even if the client didn’t open the attached PDF, the e-mail will still be checked as viewed. Also, if the client will open and review the invoice through his account, this action will be shown in the invoice history.

How to know if a client didn’t receive an email

zistemo also has a link ‘Details’ in the Invoice/Estimate history. It is displayed next to any sent email info in the History (sent invoice, sent estimate, sent a reminder).

Click this link and you will see the status of the e-mail – if it’s sent or not and a short explanation (featured in the “Reason” column).

With zistemo it’s easy to keep your invoices in accordance with official regulations. So if the receiver doesn’t need to pay VAT, you can use a reverse charge notice on your invoices. For instance, according to the European law, this has to be stated right on the invoices sent between companies from the European Union member states.

Note: If you want to use reverse charge note on your invoice, you need to save it under ‘shared-templates’. 
We don’t support a reverse charge on custom templates.

To mark a client as a receiver of a reverse charge notice, you just need to go to ‘Client’ ➝ ‘Edit Client’ ➝ ‘Client Details’➝ ‘Client Default Settings’ and mark the reverse charge check box. Don’t forget to press ‘Save Client’.

If you want to change the Text “Please Note: This supply is subject to the reverse charge” go to: ‘Settings’ -> ‘Preferences’ and scroll down to ‘Variable String’.
Change the text in the Box to your preferred text, which will be added to your invoices. Don’t forget to press ‘Save Changes’.

Go to My Profile ➝ Export and select ‘zistemo Format File (CSV)’ from the drop-down list. Choose the data you would like to export as CSV as you can see in the image below. Click on ‘Export’ and that’s all.

If you are an Account Owner, then you’ll only see your e-mail in the ‘From” drop-down. But if you are an authorized team member (an Admin or a Team Leader) you’ll see two e-mails in the dropdown, your’s and the Account Owner’s. Choose the one you need:

Here you can complete the following actions:
* Add the e-mail receiver (one of the client’s contacts) in the “To” field;
* Add e-mail addresses if you wish to publicly send this message to other people– use the “CC” field;
* Add e-mail addresses in the “BCC” field, if you wish for someone to receive a copy, but keep it private.
* A Copy of the e-mail also can be sent to your e-mail address if you check the box “Send a copy to my inbox”;
* Change the default subject and the e-mail body by using the button “Load Text Templates” to upload one of existing text templates for this e-mail type and use “Insert Placeholder” options to auto-fill some data.

This format is primarily used in Germany, Austria, and Switzerland by tax consultants. You can find the “Datev export” function in the “Export” menu.

First, select the entry “zistemo Datev” from the “File Format” dropdown list.

In the second drop-down list, you can choose to export expense, invoice or Customers/Vendors records. If you need to export all three types, you’ll have to repeat these steps as you can’t opt for all three at the same time.

The “Filter By” list will allow you to filter a specific date range or all records from the current year. You can also choose from our preconfigured date ranges (like the previous month, the previous quarter, etc.) by clicking the arrow in the “Date Range” field.

Finally, add your client number,  your tax consultant’s Datev number and the type of account numbers to the last three fields. For more information or in case you don’t have these numbers, please contact your tax consultant.

After pressing the “Export”, button zistemo will create the related Datev CSV file and you will be able to provide it to your tax consultant for further processing.
